CHAPTER 2 — INFORMATION WE COLLECT
We collect different categories of information depending on how you use SmartCabPro.
5. Company Information
For Transportation Providers we may collect:
- Company name
- Business address
- Billing information
- Contact information
- Subscription plan
- Account settings
- Authorized users
- Business communications
- Platform configuration
- The company's saved-places address book, including entrance and pickup-point details the company records about local buildings (such as door names, map pins, and gate codes) — shown only to that company's own staff and drivers
- Partner business contacts the company saves in its phone book (such as hotels, hospitals, or other businesses it calls)

- Manager mobile phone numbers entered to receive fleet alert texts, where the company turns those alerts on
6. Company Staff Information (Owners, Managers, Dispatchers)
We may collect:
- Name
- Email address
- Phone number
- Sign-in records (time, username, role, IP address, and browser), kept in a log that cannot be edited. The company's managers can view this log, and it is kept after a staff member is blocked
- Roles, permission settings, and block status, including who set them
- Two-factor (authenticator) enrolment
- Administrator and manager actions
- Working-time records, where the company uses the time clock: work sessions, breaks (a break set by a manager is marked with that manager's name), hours, pay basis and rate, pay-period lines, and the history of any reopened pay period. These records are processed for the employer
- The staff member's name stamped on trips they book, which appears on the company's trip records, trip history, and exports
- Calls they answer or place, and notes they type
- Phone availability status (such as free, on a call, or on break)
- Changes they make to the driver or car roster, logged with their name, the time, and the reason
- Manager mode sessions inside the Driver App (when opened and locked, and on which device)
- Support requests they send to SmartCabPro
6A. SmartCabPro Dispatch Desk Personnel
Where a Transportation Provider uses SmartCabPro's dispatch desk service, SmartCabPro's own desk agents answer calls and book trips for that company. For these desk agents we may collect:
- Name
- Sign-in email address
- Authenticator (two-factor) enrolment
- Sign-in and sign-out times, IP address, and browser
- A seat log showing which company the agent worked for, and from when to when
- Availability status (online, offline, or on break)
- Calls answered or placed, stamped with the company the call was for
- Trips booked (the agent's name is shown to the client company on those trips)
- Seated minutes per company, used to invoice the client company
- Time-clock hours and breaks, used to pay the agent
- Country of work, tax form, and payment details, held outside the Platform
- Block status
7. Driver Information
Depending on the Transportation Provider's configuration, we may process:
- Name
- Driver ID
- Vehicle assignment
- Phone number
- Email
- Documents and expiry dates (such as licenses, where the Transportation Provider uses document tracking)
- GPS location while on shift
- Shift status
- Ride activity
- Device information
- App permissions
- Login history
- Suspension records (dates, reason, and the name of the manager who set the suspension). These are shown to the driver and kept after the suspension ends
- Document images uploaded by the driver or the company, with their review status and any reason a document was sent back
- SOS alarm records: the time, the car, the car's location every few seconds while the alarm is active, and who closed the alarm and how
- Device sign-in history (sign-in, takeover by another phone, sign-out, removal by the office, blocking, and replacement of the device key), each with IP address and device ID. This history is kept permanently
- Shift records for each car, busy or break status, place in a zone queue, and favorite zones
- Ride offers: when each offer was delivered, seen, and answered
- Location services status (on, off, or no signal) and the time of each location fix
- An online signal sent about every 30 seconds while the app is on shift
- A last known position kept on the driver record after live location is cleared
- Ratings and tips received (the driver sees an average rating)
- Messages and broadcasts from the office
- Dues and lease payment records, and the phone number a receipt is sent to
- Crash reports and in-app feedback sent to SmartCabPro support, which include the company, driver name, car number, part of the device ID, and app version. These reports go to SmartCabPro and are not shown to the company
- Radio participation, where the company turns on the optional radio (see Section 12A)
Location data is collected for the whole time the driver is signed in on shift — including while on Break or Busy, when the app is in the background, and when the device's screen is off, and on Android phones even after the app is closed or swiped away — to support dispatching, ride tracking, and safety features. Location collection ends when the driver presses End shift, signs out, is signed out automatically, is signed out by the office, or another device signs in on the car.
7A. Vehicle Owners
Where a company records the owners of its vehicles, the company may enter the owner's name, phone number, the vehicles they own, and the dues they owe. When a manager confirms a dues payment, a receipt may be texted to that phone number.
8. Rider and Caller Information
We may collect:
- Name
- Phone number
- Optional profile photo (shown to the company's dispatchers)
- Email address, if you give one for receipts
- One-time SMS sign-in codes
- Pickup location
- Destination
- Saved addresses (such as Home and Work favorites) and recent trips
- Preferred language, when you tell us or ask for service in another language (so the AI phone agent and dispatchers can answer your future calls in that language)
- Pickup and drop-off details you choose to provide so the driver can find you (such as building, apartment or unit number, entrance, terminal, or a gate code)
- Accessibility needs you tell us about, such as wheelchair use, recorded on that trip
- Your device's location, if you allow it: read when the app opens and when you tap the locate-me button (to centre the map and rank nearby address suggestions, which sends it to our map and address-search providers), and read again when you tap Book (or the most recent reading, if a new one is not available), which is shown to the company to confirm your pickup point
- Ride history
- Payment method chosen (cash or card), recorded on the trip. In-app card payments are not currently offered
- Communications with drivers or dispatchers (in-app chat messages with the driver are deleted after the ride ends)
- Voice recordings and transcripts when calling a company phone line answered by the AI phone agent
- WhatsApp messages, where a company offers booking through WhatsApp
- An app install ID and push notification tokens, linked to the company's app you use
- Ratings and written comments, which are shared with the company, linked to the driver and the ride, and can be exported by the company
- Emailed receipts
If you use more than one taxi company on SmartCabPro, each company keeps a separate profile and ride history for you.
If you phone a company's line, whether or not you use an app, we may also collect:
- Your phone number (caller ID), the number you dialed, the time and length of the call, and how the call ended
- Whether a company staff member, SmartCabPro dispatch desk personnel, or the AI phone agent answered, and any notes staff type
- Missed-call records, used so the company can call you back
- Your number when it is passed on by a company's own phone system to show on the dispatcher's screen (normally cleared about a day later, the next time that dispatch screen or desk link is open; no audio is kept)
- Whether the company has blocked your number, and the reason
- Your language preference and the keypad choices you press
- Voicemail messages left before the voicemail feature was retired
- Ride addresses, kept in the company's address book with the name of the last passenger picked up there
8A. Business Contacts, Prospects and Website Visitors
For taxi businesses and other business contacts who ask about SmartCabPro, or whom we contact, we may collect:
- Name, company, phone number, email address, fleet size, preferred contact time, and notes, from demo requests, contact forms, and the demo sign-in page
- Business contact details from public records, such as municipal taxi licence lists
- Call outcomes, callback times, and notes
- The history of sales emails we send, and unsubscribe links
After a demo or contact request, we may send up to three follow-up emails. Each one carries a one-click unsubscribe link, which is honoured immediately and permanently. If you ask us not to call, your number is kept on a permanent do-not-call list, and that request also stops our sales emails. Our sales calls are dialed by a person. We do not use autodialers or recorded messages.
9. Device Information
We may collect:
- Device type
- Operating system
- App version
- Browser type
- IP address
- Language
- Time zone
- Push notification token
- App install ID and device ID
- The Driver App's online signal (about every 30 seconds while on shift)
- Diagnostic information
The Driver App checks which supported navigation apps are installed on the phone only so it can offer those choices. It does not send that list to SmartCabPro.
10. Usage Information
We may collect:
- Login times
- Button clicks
- Feature usage
- Error reports
- Session duration
- Performance metrics
- Audit logs
- Support interactions
- Platform usage totals, computed from our own service records
SmartCabPro also keeps an internal diagnostics log of events the system could not resolve on its own (for example, a call to a number that no company owns). This log may include phone numbers, company links, and record IDs. It is visible only to SmartCabPro platform staff. Entries that have not been reviewed are deleted after 90 days; entries that have been reviewed are kept as internal records.
CHAPTER 3 — HOW WE USE YOUR INFORMATION
SmartCabPro uses personal information only for legitimate business purposes related to providing, maintaining, improving, securing, and supporting the Platform.
Depending on the services used, we may use information for the following purposes.
11. Providing the Platform
We use information to:
- create and manage accounts;
- authenticate users;
- dispatch rides;
- connect riders with transportation providers;
- manage drivers and vehicles;
- process subscriptions;
- provide customer support;
- maintain account settings.
12. AI Features
Where AI-powered features are enabled, information may be processed to:
- answer customer phone calls;
- assist dispatchers;
- summarize conversations;
- transcribe calls;
- recognize addresses;
- improve routing suggestions;
- automate repetitive tasks.
A call to a company's phone number may be answered by SmartCabPro's AI phone agent in that company's name. This can happen when the company has the AI answer directly, when no dispatcher takes a waiting call after a short wait, when staff hand the call over, or after a caller presses 2 to switch language.
The AI phone agent looks you up by caller ID only in the records of the company you called. It may greet you by name, suggest pickup and drop-off addresses and apartment or entrance details from your past rides with that company, and answer in your saved language. Addresses it cannot find in the company's records are checked with Google.
AI calls are recorded and transcribed. Those recordings and transcripts are held by our AI service providers for the company whose number you called, and can be provided to that company on request.
AI-generated responses are intended to assist users and should not be considered professional, legal, financial, medical, or emergency advice.
12A. Company Radio (Push-to-Talk), Where Enabled
SmartCabPro is developing an optional push-to-talk radio for companies. It is not available today. If it is offered, it will be off by default and can be turned off by SmartCabPro and by the company's manager. If your company turns it on:
- your live voice is sent only while you hold the talk control, to one company-wide channel;
- your car number and name are shown to everyone on that channel;
- taking a participant off the air, and every action by a radio controller the company appoints, is logged with who did it and when; a private "mute for me", which affects only the listener's own ears, is not shown to the person muted;
- live audio is relayed through real-time audio servers that use LiveKit software, run either by LiveKit or on servers SmartCabPro rents from a hosting provider, and is not recorded by SmartCabPro (audio may be held briefly, for example until a driver finishes a phone call, and is then discarded);
- sounds inside the vehicle, including passengers, may be heard live while a driver talks;
- if a staff member talks on the radio while on a call with you, you are normally placed on hold; if the staff member chooses to let you hear, you may briefly hear the radio exchange, including drivers' replies.
Other people on the channel could record the audio with their own devices. SmartCabPro cannot prevent this.
13. Communications
Information may be used to send:
- booking confirmations;
- dispatch updates;
- driver notifications;
- password resets;
- account alerts;
- billing notices;
- customer support messages;
- security notifications;
- service announcements.
The text messages the Platform actually sends are:
- sign-in codes;
- arrival notices for rides not booked in the passenger app (for example, rides booked by phone, through the AI phone agent, or by a dispatcher), when the taxi company has these texts turned on, starting with the taxi company's name;
- one-off texts written by company staff (for example, a reply to a missed call);
- fleet alerts to company managers who turn them on;
- dues payment receipts.
Document expiry reminders for drivers are shown in the Driver App, not sent by text.
We keep a log of each text message (recipient, type, time, number of segments, whether our messaging provider accepted it for sending, and the provider's message reference) for billing and to resolve disputes. We may work out which company a sign-in code belongs to from the phone number.
Push notifications may show message text and trip details on a locked screen.
Emails the Platform sends include account verification, ride receipts, corporate invoices, support acknowledgments, and sales follow-ups to business contacts (each with an unsubscribe link).
Marketing communications will only be sent where permitted by applicable law or with appropriate consent where required.
13A. Text Messaging (SMS)
Consent to receive texts is collected when you sign in or book. If you call a taxi company, it may text you back at that number about your call. Taxi companies are responsible for having permission to text their drivers, vehicle owners and managers. Texts come from SmartCabPro's registered number or from the taxi company's own registered number. Message and data rates may apply. Reply STOP to stop texts at any time, or HELP for help.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, excluding the aggregators and providers of the text message services that deliver the messages.
See our SMS Policy and SMS Opt-In page for details.
14. Safety and Security
We process information to:
- detect fraud;
- prevent unauthorized access;
- investigate suspicious activity;
- secure user accounts;
- monitor platform integrity;
- protect users and Transportation Providers.
15. Product Improvement
We may analyze usage patterns, performance metrics, and feedback to:
- improve existing features;
- develop new products;
- enhance AI capabilities;
- optimize system performance;
- improve user experience.
Where practical, information used for analytics may be aggregated or de-identified.
16. Legal Compliance
We may process information when reasonably necessary to:
- comply with legal obligations;
- respond to lawful requests from government authorities;
- enforce our agreements;
- resolve disputes;
- protect the rights, property, or safety of SmartCabPro, our customers, or others.
CHAPTER 4 — HOW WE SHARE INFORMATION
SmartCabPro does not sell personal information.
We share information only as necessary to operate the Platform or where required by law.
17. Transportation Providers
Information may be shared with the Transportation Provider that operates the account in order to:
- dispatch rides;
- manage drivers;
- provide customer support;
- administer subscriptions;
- operate transportation services.
Each company's records are held separately. Within the Platform, access is limited to that company's own authorized staff and drivers, SmartCabPro dispatch desk personnel assigned to that company, and authorized SmartCabPro staff when needed to operate, support, or secure the Platform. A rider who uses several companies has a separate record with each company.
18. Drivers and Riders
To facilitate transportation services, certain information is shared between riders and drivers, such as:
- pickup location;
- destination (where applicable);
- first name;
- ride status;
- estimated arrival information;
- limited contact information where required for the trip.
While a driver is on shift, the car's approximate live position and whether it is free or busy (without the driver's name) may appear on the company's passenger map before a rider books. After booking, the rider sees the assigned car's position and car number.
Other drivers of the same company can see car numbers, the order of cars in a zone queue, and whether a car is on a call or on break.
Only the information reasonably necessary to complete the transportation service is shared.
19. Service Providers
SmartCabPro may share information with trusted service providers that help us operate the Platform.
These may include providers of:
- cloud hosting;
- SMS delivery;
- voice communications;
- artificial intelligence;
- payment processing;
- mapping and navigation;

- app distribution and app updates;
- customer support;
- dispatch staffing.

- Netlify — website and application hosting, and app update files
- Namecheap Private Email — our mailbox, and the sender of verification, receipt, invoice, support, and sales emails
- Stripe, Inc. — subscription billing for Transportation Providers, where enabled. Ride card payments are not currently offered. Card numbers are entered only on Stripe's pages and never reach SmartCabPro's systems. Stripe's own privacy policy applies to information you provide directly to Stripe.
- LiveKit, or a server hosting provider running LiveKit open-source software for SmartCabPro — live audio relay for the company radio, only if the optional company radio is enabled (see Section 12A)
- SmartCabPro dispatch personnel, which may include contractors outside the United States, where a company uses the dispatch desk service
SmartCabPro may add, remove, or replace service providers as the Platform evolves. An updated list is available on request at admin@smartcabpro.com.
These providers may access information only as reasonably necessary to perform services for SmartCabPro and are contractually required to protect it where applicable.
20. Business Transfers
If SmartCabPro undergoes a merger, acquisition, financing, corporate restructuring, or sale of assets, user information may be transferred as part of that transaction, subject to applicable law.
21. Legal Requirements
We may disclose information if we reasonably believe disclosure is necessary to:
- comply with applicable law;
- respond to subpoenas, court orders, or lawful government requests;
- protect our legal rights;
- investigate fraud;
- prevent harm;
- enforce our agreements.
22. With User Consent
Where required by law or where we otherwise request permission, we will share information only with the user's consent.
CHAPTER 5 — COOKIES, TRACKING TECHNOLOGIES, DATA RETENTION & YOUR RIGHTS
23. Cookies and Similar Technologies
SmartCabPro's websites and apps use cookies, local storage, and similar on-device storage only to:
- keep users signed in;
- remember preferences;
- enhance security;
- make the apps work, such as keeping the app linked to your company.
SmartCabPro uses no advertising or analytics cookies, no pixels, and no third-party analytics tools. The apps store on your device only what they need to work. See our Cookie Policy for details.
Some outside services we use, such as Google Maps, may set their own cookies, and Google Fonts receives your IP address when our website loads.
Some features may not function properly if this storage is disabled.
24. Analytics
SmartCabPro does not use third-party analytics tools. Usage statistics, performance information, and crash reports are computed from our own service records and from reports sent to SmartCabPro support.
Where practical, this information is aggregated or de-identified before analysis.
25. Data Retention
SmartCabPro retains information only for as long as reasonably necessary to:
- provide the Platform;
- maintain account history;
- support Transportation Providers;
- comply with legal obligations;
- resolve disputes;
- enforce agreements;
- protect Platform security;
- maintain backups and disaster recovery systems.
Retention periods vary depending on the type of information and applicable legal requirements. In general:
- trips, payment records, ratings, and messages between the office and drivers are archived after 90 days and kept for the life of the company's account, unless the company's managers delete them;
- rider-driver chat for a trip is deleted when the ride ends;
- security logs, terms acceptance records, device sign-in history, fleet logs, and dispatch desk seat logs are kept permanently;
- office working-time and pay records are kept with the company's account, because the company may need them for wage-and-hour record-keeping;
- caller numbers passed on by a company's own phone system are kept only briefly, normally cleared about a day later the next time that dispatch screen or desk link is open;
- entries in the internal diagnostics log are deleted after 90 days unless they have been reviewed; reviewed entries are kept as internal records;
- sign-in codes expire after a short time.
26. Data Deletion
Users may request deletion of eligible personal information by contacting:
admin@smartcabpro.com
or by mail at: SmartCabPro LLC, 971 US Highway 202N #6809, Branchburg, NJ 08876, United States
or by using self-service privacy tools available through the Platform, where available.
Riders can delete their account inside the Passenger App under Account > Delete my account:
- The Passenger App is always connected to one taxi company (a company-branded app, a company link, or the SCP Rider app connected with a company code). Deleting your account removes your name and photo at that company and that app's notification registrations for that company. Your profile at any other taxi company is not affected, and your phone number can still be used to sign in there.
- To remove your name and photo at every taxi company you have used, email admin@smartcabpro.com and include the phone number linked to your account; we may text a code to that number to confirm it is yours.
Your phone number, trips, ride addresses, payment-method choices and ratings stay as the company's business records. Requests about information a company controls (such as driver, staff, or caller records) may be passed to that company.
Deletion requests are described in more detail in the SmartCabPro Data Deletion Policy.
Some information may be retained where required by law or reasonably necessary to:
- complete ongoing transactions;
- detect fraud;
- maintain security;
- comply with legal obligations;
- enforce agreements;
- preserve audit records;
- maintain backup systems during normal retention periods.
27. Your Privacy Rights
Depending on your location and applicable law, you may have rights to:
- access your personal information;
- correct inaccurate information;
- request deletion;
- obtain a copy of your information;
- object to certain processing;
- withdraw consent where processing is based on consent;
- request restrictions on certain processing activities.
SmartCabPro will respond to applicable requests within the time required by law.
How to exercise your rights. Email admin@smartcabpro.com or write to the mailing address in Section 35. Riders can also delete their account inside the Passenger App (see Section 26). We may need to confirm your identity before acting on a request. If your request is about information a Transportation Provider controls (such as its driver, staff, or caller records), we may pass it to that company, which will respond.
Appeals. If we refuse your request, you may appeal by replying to our decision or emailing admin@smartcabpro.com with the word "Appeal". We will tell you the result of the appeal and the reasons, within the time required by law. If you are not satisfied, you may contact your state Attorney General.
No sale, targeted advertising, or profiling. SmartCabPro does not sell personal information, does not share it for targeted advertising, and does not use it for profiling that produces legal or similarly significant effects.
28. Account Closure
Closing an account does not necessarily result in immediate deletion of all information.
Certain information may be retained for legal, accounting, security, fraud prevention, dispute resolution, backup, or compliance purposes.
CHAPTER 6 — SECURITY OF YOUR INFORMATION
29. Security Measures

- provide notifications when required by applicable law.
33. International Transfers
SmartCabPro may process or store information in countries where SmartCabPro or its service providers operate.

34. Children's Privacy
