This Privacy Policy explains how SMARTCABPRO LLC ("SmartCabPro," "we," "our," or "us") collects, uses, stores, protects, and shares information when you use our websites, mobile applications, software platform, and related services.
This Privacy Policy applies to:
- Transportation Providers (taxi companies)
- Company Owners
- Administrators
- Dispatchers
- Drivers
- Riders (Passengers)

CHAPTER 1 — INTRODUCTION
1. Who We Are
SmartCabPro LLC is a software company that develops cloud-based transportation management software, AI-powered dispatch systems, customer communication tools, and related technology services.
SmartCabPro provides software only.
SmartCabPro is not a transportation company and does not provide taxi, limousine, rideshare, or other transportation services.
Transportation services are provided by independent Transportation Providers using the Platform.
2. Scope
This Privacy Policy applies to:

- Passenger App
- Driver App
- Dispatcher Portal
- Manager Portal
- Administrator Portal
- AI-powered communication services
- Future SmartCabPro products unless separate privacy terms are provided.
3. Acceptance
By accessing or using any SmartCabPro service, you acknowledge that you have read this Privacy Policy.
Where required by law, we will request your consent before processing certain categories of information.
4. Changes
SmartCabPro may update this Privacy Policy periodically.
When material changes occur, we may notify users through:

- in-app notification
- website notice
- dashboard notification
- other reasonable communication methods

CHAPTER 2 — INFORMATION WE COLLECT
We collect different categories of information depending on how you use SmartCabPro.
5. Company Information
For Transportation Providers we may collect:
- Company name
- Business address
- Billing information
- Contact information
- Subscription plan
- Account settings
- Authorized users
- Business communications
- Platform configuration
- The company's saved-places address book, including entrance and pickup-point details the company records about local buildings (such as door names, map pins, and gate codes) — shown only to that company's own staff and drivers
6. Administrator Information
We may collect:
- Name
- Email address
- Phone number
- Login history
- Administrator actions
- Account permissions
- Authentication records
7. Driver Information
Depending on the Transportation Provider's configuration, we may process:
- Name
- Driver ID
- Vehicle assignment
- Phone number
- Email
- Documents and expiry dates (such as licenses, where the Transportation Provider uses document tracking)
- GPS location while on shift
- Shift status
- Ride activity
- Device information
- App permissions
- Login history
Location data is collected while the driver is on shift — including when the app is in the background and when the device's screen is off — to support dispatching, ride tracking, and safety features. Location collection ends when the driver ends the shift or signs out.
8. Rider Information
We may collect:
- Name
- Phone number
- One-time SMS sign-in codes
- Pickup location
- Destination
- Saved addresses (such as Home and Work favorites) and recent trips
- Preferred language, when you tell us or ask for service in another language (so the AI phone agent and dispatchers can answer your future calls in that language)
- Pickup and drop-off details you choose to provide so the driver can find you (such as building, apartment or unit number, entrance, terminal, or a gate code)
- Ride history
- Payment records for card-paid rides — amount, tip, chosen payment method (card or cash), payment status, and a Stripe transaction reference. Never your card number — cards are entered only on Stripe's secure payment pages
- Communications with drivers or dispatchers (in-app chat messages with the driver are deleted after the ride ends)
- Voice recordings and transcripts when calling a company phone line answered by the AI phone agent
- WhatsApp messages when booking through WhatsApp
- Push notification tokens for arrival alerts
- Ratings and feedback
9. Device Information
We may collect:
- Device type
- Operating system
- App version
- Browser type
- IP address
- Language
- Time zone
- Push notification token
- Diagnostic information
10. Usage Information
We may collect:
- Login times
- Button clicks
- Feature usage
- Error reports
- Session duration
- Performance metrics
- Audit logs
- Support interactions
CHAPTER 3 — HOW WE USE YOUR INFORMATION
SmartCabPro uses personal information only for legitimate business purposes related to providing, maintaining, improving, securing, and supporting the Platform.
Depending on the services used, we may use information for the following purposes.
11. Providing the Platform
We use information to:
- create and manage accounts;
- authenticate users;
- dispatch rides;
- connect riders with transportation providers;
- manage drivers and vehicles;
- process subscriptions;
- provide customer support;
- maintain account settings.
12. AI Features
Where AI-powered features are enabled, information may be processed to:
- answer customer phone calls;
- assist dispatchers;
- summarize conversations;
- transcribe calls;
- recognize addresses;
- improve routing suggestions;
- automate repetitive tasks.
AI-generated responses are intended to assist users and should not be considered professional, legal, financial, medical, or emergency advice.
13. Communications
Information may be used to send:
- booking confirmations;
- dispatch updates;
- driver notifications;
- password resets;
- account alerts;
- billing notices;
- customer support messages;
- security notifications;
- service announcements.
Marketing communications will only be sent where permitted by applicable law or with appropriate consent where required.
14. Safety and Security
We process information to:
- detect fraud;
- prevent unauthorized access;
- investigate suspicious activity;
- secure user accounts;
- monitor platform integrity;
- protect users and Transportation Providers.
15. Product Improvement
We may analyze usage patterns, performance metrics, and feedback to:
- improve existing features;
- develop new products;
- enhance AI capabilities;
- optimize system performance;
- improve user experience.
Where practical, information used for analytics may be aggregated or de-identified.
16. Legal Compliance
We may process information when reasonably necessary to:
- comply with legal obligations;
- respond to lawful requests from government authorities;
- enforce our agreements;
- resolve disputes;
- protect the rights, property, or safety of SmartCabPro, our customers, or others.
CHAPTER 4 — HOW WE SHARE INFORMATION
SmartCabPro does not sell personal information.
We share information only as necessary to operate the Platform or where required by law.
17. Transportation Providers
Information may be shared with the Transportation Provider that operates the account in order to:
- dispatch rides;
- manage drivers;
- provide customer support;
- administer subscriptions;
- operate transportation services.
18. Drivers and Riders
To facilitate transportation services, certain information is shared between riders and drivers, such as:
- pickup location;
- destination (where applicable);
- first name;
- ride status;
- estimated arrival information;
- limited contact information where required for the trip.
Only the information reasonably necessary to complete the transportation service is shared.
19. Service Providers
SmartCabPro may share information with trusted service providers that help us operate the Platform.
These may include providers of:
- cloud hosting;
- SMS delivery;
- voice communications;
- artificial intelligence;
- payment processing;
- mapping and navigation;
- email delivery;
- analytics;
- customer support;
- infrastructure monitoring.
As of the effective date of this Privacy Policy, our principal service providers are:
- Supabase — cloud database and application backend
- Twilio — telephone calls, SMS text messages, voicemail, and WhatsApp message transport
- Vapi and Anthropic — the AI phone agent that answers company phone lines
- Google — address lookup, maps and navigation handoff, and push notifications
- Mapbox — road routes and address lookup
- OpenStreetMap — map display tiles
- Netlify — website and application hosting
- Namecheap Private Email — the in-platform company email feature
- Stripe, Inc. — payment processing: ride card payments from passengers to drivers (via Stripe-hosted payment pages and driver-owned Stripe accounts) and subscription payments from Transportation Providers, where enabled. Data shared with or held by Stripe includes payment amounts, ride references, driver payout account and tax details, and passenger payment confirmation status. Card numbers are entered only on Stripe's pages and never reach SmartCabPro's systems. Stripe's own privacy policy applies to information you provide directly to Stripe.
SmartCabPro may add, remove, or replace service providers as the Platform evolves. An updated list is available on request at admin@smartcabpro.com.
These providers may access information only as reasonably necessary to perform services for SmartCabPro and are contractually required to protect it where applicable.
20. Business Transfers
If SmartCabPro undergoes a merger, acquisition, financing, corporate restructuring, or sale of assets, user information may be transferred as part of that transaction, subject to applicable law.
21. Legal Requirements
We may disclose information if we reasonably believe disclosure is necessary to:
- comply with applicable law;
- respond to subpoenas, court orders, or lawful government requests;
- protect our legal rights;
- investigate fraud;
- prevent harm;
- enforce our agreements.
22. With User Consent
Where required by law or where we otherwise request permission, we will share information only with the user's consent.
CHAPTER 5 — COOKIES, TRACKING TECHNOLOGIES, DATA RETENTION & YOUR RIGHTS
23. Cookies and Similar Technologies
SmartCabPro and its service providers may use cookies, local storage, pixels, SDKs, and similar technologies to:
- keep users signed in;
- remember preferences;
- improve website performance;
- enhance security;
- understand how the Platform is used;
- measure the effectiveness of communications;
- improve our products and services.
Some features may not function properly if certain cookies are disabled.
24. Analytics
We may use analytics tools to understand:
- feature usage;
- application performance;
- crash reports;
- navigation patterns;
- general product improvements.
Where practical, analytics information is aggregated or de-identified before analysis.
25. Data Retention
SmartCabPro retains information only for as long as reasonably necessary to:
- provide the Platform;
- maintain account history;
- support Transportation Providers;
- comply with legal obligations;
- resolve disputes;
- enforce agreements;
- protect Platform security;
- maintain backups and disaster recovery systems.
Retention periods vary depending on the type of information and applicable legal requirements.
26. Data Deletion
Users may request deletion of eligible personal information by contacting:
admin@smartcabpro.com
or by using self-service privacy tools available through the Platform, where available.

Some information may be retained where required by law or reasonably necessary to:
- complete ongoing transactions;
- detect fraud;
- maintain security;
- comply with legal obligations;
- enforce agreements;
- preserve audit records;
- maintain backup systems during normal retention periods.
27. Your Privacy Rights
Depending on your location and applicable law, you may have rights to:
- access your personal information;
- correct inaccurate information;
- request deletion;
- obtain a copy of your information;
- object to certain processing;
- withdraw consent where processing is based on consent;
- request restrictions on certain processing activities.
SmartCabPro will respond to applicable requests within the time required by law.
28. Account Closure
Closing an account does not necessarily result in immediate deletion of all information.
Certain information may be retained for legal, accounting, security, fraud prevention, dispute resolution, backup, or compliance purposes.
CHAPTER 6 — SECURITY OF YOUR INFORMATION
29. Security Measures
SmartCabPro uses commercially reasonable administrative, technical, and organizational safeguards designed to protect personal information.
These safeguards may include:
- encryption where appropriate;
- authentication controls;
- access controls;
- secure cloud infrastructure;
- monitoring;
- logging;
- backups;
- software updates;
- vulnerability management;
- role-based permissions.
30. No Absolute Security
No internet-based service or computer system can guarantee complete security.
Although SmartCabPro works to protect information, we cannot guarantee that unauthorized access, cyberattacks, or security incidents will never occur.
31. Account Security
Users are responsible for:
- protecting passwords;
- protecting authentication devices;
- keeping contact information current;
- reporting suspected unauthorized access promptly.
Users should not share administrator credentials with unauthorized individuals.
32. Security Incidents
If SmartCabPro becomes aware of a confirmed security incident affecting personal information under its control, we will take commercially reasonable steps to:
- investigate;
- contain the incident;
- restore services where reasonably possible;
- provide notifications when required by applicable law.
33. International Transfers
SmartCabPro may process or store information in countries where SmartCabPro or its service providers operate.
Where required by applicable law, appropriate safeguards will be implemented for international transfers of personal information.
34. Children's Privacy
SmartCabPro services are not directed to children under the age required by applicable law.
We do not knowingly collect personal information directly from children where prohibited by law.
If we become aware that such information has been collected in violation of applicable law, we will take reasonable steps to delete it.
